Instalar una operación en Monagas: el orden que ahorra mesesSetting up an operation in Monagas: the order that saves months

The contract almost always arrives before the office does. This is the sequence a company from outside follows to set up in Maturín without stalling while it waits for square metres, and which step most people leave for last even though it is the one that unblocks all the others.

The pattern repeats itself. The tender is won or the contract is signed, and the first thing someone puts on the list is "find an office". A space is found, a one-year lease is signed, a deposit and advance are paid, and the fit-out begins: partitions, power points, network cabling, paint, furniture. Weeks go by between signing and the first day of work — sometimes months — and the rent runs from day one.

Meanwhile the team already in Maturín works wherever it can: a hotel lobby, a restaurant table, the truck. And by the time the fit-out is finished, the project has changed size: it grew, it shrank, or it moved to another phase. The lease was signed for a company that no longer exists in that shape.

The order that works is the reverse. First what you need in order to exist — an address — then what you need in order to work today — desks and a meeting room when required — and only at the end space of your own, once the headcount is a fact and not a forecast.

La dirección va primero, siempreThe address comes first, always

Almost no procedure moves forward without a registered address. The commercial registry asks for one, the tax registration asks for one, the bank asks for one to open the account, the municipality asks for one for the licence, and the client asks for one to issue the purchase order. And not just any address will do: many of those procedures need one that receives mail and where somebody signs for it.

That requirement is solved without renting a single square metre: what you need is a business address that receives mail in your company's name — what is known as a virtual office. It costs a fraction of a lease and it is the step that unblocks the others — and it is exactly the one usually left for "once we have an office".

When choosing one, check three things before signing: that it is a real physical address and not a PO box, because some procedures reject those; that somebody signs for your mail and tells you the same day it arrives, rather than piling it up; and that the building is a landmark anyone in the city can place, because that address will appear on your invoices and contracts for years.

One honest caveat: which documents each procedure requires, and in what order each authority asks for them, is defined by your lawyer or your accountant, not by a web page, and it changes over time and with the type of company. What is constant is that the address is almost never the bottleneck when it is settled first, and almost always is when it is left for last.

La avanzada todavía no necesita una oficinaThe advance team does not need an office yet

The first team to arrive is usually two or three people: someone from operations, someone from procurement, and sometimes the project manager. Those people will spend more time out than at a desk. Their day is visiting the client, seeing the site, meeting a supplier, sorting out a permit. They sit down again for two or three hours, sometimes not even that.

What they need is somewhere with internet that does not drop, a closed room to meet in when required, and a car park for the truck. None of that calls for a one-year lease: it is solved with day passes or month-to-month desks and rooms by the hour, here or wherever you find that arrangement.

The rule for this phase: do not sign anything that lasts longer than the phase does. If the advance team will be there three months, a twelve-month lease is not giving you stability: it is taking away the option to change your mind when the project changes, which it will.

Cuándo firmar metros, y cuántosWhen to sign for space, and how much

The signal is simple: sign when the headcount stops changing for two months running. Before that, any figure you put in the lease is a forecast, and start-up forecasts are almost never right.

When the moment comes, three mistakes come up again and again when sizing the space:

Counting desks only. A six-person operation does not need six desks: it needs six desks and somewhere to meet without the whole office listening. The meeting room is forgotten in the calculation and shows up in practice on day one.
Counting the full payroll. If half the team is in the field, paying for an empty desk for each of them is paying for a chair. You count the real occupancy of a normal day, not the payroll.
Leaving no room for the peak. An audit, a start-up, a plant shutdown or a client visit brings extra people in for a fortnight. If that peak forces a move, the lease was badly sized.

The practical way to solve all three is the same: keep the peak outside the contract. Sign for the stable team — the people sitting there on an ordinary Tuesday — and make sure the extra space exists next door and is rented by the hour or by the day. If every time three people arrive for a fortnight you have to move, the problem was not the peak: it was how the contract was sized.

Before asking for the first quote, settle three numbers: how many people, when you start and for how long. With those three, every option in the city can be compared on the same sheet. Without them, each provider will quote something different and you will not be able to line them up.

Dónde come, duerme y se reúne la genteWhere people eat, sleep and meet

This is the line item that appears on no spreadsheet and creates the most friction in the first months. The technician who comes for two weeks and needs somewhere to stay. The client who comes to a meeting and has to be received somewhere presentable. Lunch for eight people, every day. The Tuesday bank errand. Parking for three trucks.

Each of those things, solved ten or fifteen minutes away, is half an hour of somebody's day; multiplied by eight people and twenty working days, it becomes a payroll line nobody budgeted. So it is worth judging a location by what it solves without leaving it: food, a bank, a pharmacy, accommodation for people coming from outside, and secure parking. In Maturín, the complex that concentrates all of that at one address is Ciudad Comercial Petroriente, which also sits opposite the PDVSA Exploration and Production headquarters.

El tejido local: cámaras y proveedoresThe local fabric: chambers and suppliers

An operation arriving from outside needs two things that cannot be bought: suppliers who answer and people who know the ground. In Monagas that runs through the business chambers, which is where sector companies, service companies and the administration meet.

The concrete recommendation: in your first month, join the chamber that matches your activity and attend a meeting even with nothing to ask for. It is cheaper and faster than any other route to finding out which suppliers deliver and which do not, and that information is published nowhere. Three business chambers have their offices in the corporate wing of the mezzanine, and being in the same corridor shortens the path, though on its own it closes no deal.

El orden completo, en seis pasosThe whole order, in six steps

The business address and mail handling. Sorted in days, not weeks, and it is what lets the paperwork begin.
Desks for the advance team. By the day or month to month, with no commitment, while the team comes and goes.
The paperwork, using that address. In whatever order your adviser sets, and no longer waiting on premises.
Rooms by the hour when needed. To receive a client or close with a supplier, without paying for a room thirty days a month.
The private office, once the headcount settles. Furnished and ready, with the peak covered outside the lease.
Growing without moving. Adjoining offices in the same corridor, the same address and the same car park.

It is not the only possible order, but it is the one that lets you work from the first week instead of the third month. And it has an advantage you notice at the end: each step can be undone without losing what you paid for the one before.

Preguntas frecuentesFrequently asked questions

How long does it take to get an office running in Maturín?

It depends on the route. Premises of your own that need a fit-out are rarely ready in less than several weeks once you count building work, furniture, utility connections and the move, and the rent runs from the day you sign. A furnished office inside a coworking space is occupied the same day the agreement is closed, because the furniture, power, internet and cleaning are already in place.

What happens if the team grows mid-contract?

In premises of your own, growing means moving or subletting, and both cost time and money. So it is worth asking before signing, anywhere: if the team goes from six to nine, is adjoining space available and how soon? An arrangement where you add the office next door or a few more desks, without changing address or access cards, avoids the whole move. And a short peak — an audit, a start-up — is best covered by the day, without touching the underlying agreement.

Do you need to be in Maturín to arrange the space?

You do not need to be, and it is worth checking before you start: ask whether the agreement can be closed remotely — a call, the proposal by email and an electronic signature — and whether access cards can be collected on day one with no extra paperwork. One recommendation that saves a trip: ask for photos or video of the exact space you are being given, not of the building, and have someone from your team see it in person when they are next in the city, before the term starts.

Is it better to lease your own premises or start in a coworking space?

Your own premises make sense when the team is large and stable, when the business needs specific facilities — a workshop, a warehouse, a laboratory, a public counter — and when the term runs to years. Coworking makes sense when the size is still moving, when the term is months, or when you need to start working before any premises could be ready. Many operations use both at different points of the same project.
