«¿Cuántas personas caben?» es una pregunta sin respuesta hasta que se sabe cómo vas a montar la sala. El mismo salón admite 21 personas en herradura y 45 en filas de escuela: no cambió la sala, cambió el mobiliario. Por eso dos presupuestos del mismo sitio pueden dar números tan distintos que parecen de locales diferentes.
"How many people fit?" is a question with no answer until you know how you are laying the room out. The same hall takes 21 people in a horseshoe and 45 in school rows: the hall did not change, the furniture did. That is why two quotes for the same venue can give numbers so different they look like different places.

There are three layouts and each one is for something different:
- Tipo U o herradura. Mesas en forma de U y todo el mundo viéndose la cara. Es el de las juntas, los comités, las negociaciones y las mesas técnicas. Es el que menos gente admite, y es el correcto cuando hace falta que todos hablen.U-shape or horseshoe. Tables in a U with everybody facing everybody. This is for boards, committees, negotiations and technical working groups. It takes the fewest people, and it is the right one when everyone needs to speak.
- Tipo escuela. Filas con mesa delante. Para formación, certificaciones, inducciones y todo lo que exija escribir o tener un portátil abierto. Admite bastante más gente que la U y conserva la superficie de trabajo.Classroom. Rows with a table in front. For training, certifications, inductions and anything where people write or keep a laptop open. It takes considerably more people than the U and keeps a work surface.
- Tipo teatro. Sólo sillas, mirando al frente. Para presentaciones, ruedas de prensa, asambleas y lanzamientos. Es el que más gente admite, y el que no sirve si el público tiene que escribir.Theatre. Chairs only, facing the front. For presentations, press conferences, general meetings and launches. It takes the most people, and it is no use if the audience has to write.
Regla práctica: decide primero qué va a hacer la gente sentada —hablar, escribir o mirar— y de ahí sale el montaje. La capacidad es una consecuencia, no un punto de partida.
Rule of thumb: decide first what the people sitting down are going to do — talk, write or watch — and the layout follows. Capacity is a consequence, not a starting point.

Hasta diez personas, el Guanaguana. De diez a veintiuna, el Río Morichal, el Miraflores o el Guácharo en herradura. Si son menos de quince y no hace falta un salón, hay una opción más corta y más barata: las salas de reunión de la mezanina, que se alquilan por hora.

Montaje escuela, porque la gente escribe. Quince personas caben en el Guanaguana, veinte en el Río Morichal, veinticuatro en el Miraflores y cuarenta y cinco en el Guácharo. Por encima de eso hay que pasar a teatro y aceptar que el público se quede sin mesa.

Se sale al aire libre: la Plaza Central para unas quinientas personas, y los estacionamientos para volúmenes mucho mayores. Aquí el límite deja de ser el aforo y pasa a ser la logística —baños, energía, acceso de proveedores—, que es de lo que habla el apartado siguiente.
You go outdoors: the Central Plaza for around five hundred people, and the car parks for much larger volumes. Here the limit stops being capacity and becomes logistics — toilets, power, supplier access — which is what the next section is about.

This is the part usually discovered late, and it is where the budget goes. Three specific things about these spaces, stated as they are:
- El sonido. El Guácharo y el Miraflores incluyen proyector, pero el altavoz no va en la tarifa base. Para cien personas en teatro, el sonido no es un extra opcional: es la diferencia entre que te oigan y que no.Sound. The Guácharo and the Miraflores include a projector, but the speaker is not in the base rate. - Los baños de un evento al aire libre. La Plaza Central tiene cuatro baños públicos. Para quinientas personas eso no alcanza, y el propio complejo sugiere sumar unidades portátiles. Mejor presupuestarlo desde el principio que resolverlo la víspera.Toilets at an outdoor event. The Central Plaza has four public toilets. For five hundred people that is not enough, and the complex itself suggests adding portable units. Better to budget for it from the start than to solve it the night before.
- El respaldo eléctrico al aire libre. En la Plaza Central es parcial y queda sujeto a análisis según lo que vayas a conectar. Si el evento depende de tarima, pantallas o cocina, ese análisis se pide antes de fijar la fecha, no después.Backup power outdoors. In the Central Plaza it is partial and subject to review depending on what you plan to connect. If the event depends on a stage, screens or catering equipment, that review is requested before fixing the date, not after.
A eso se suman las partidas de siempre, que no dependen del sitio: montaje y desmontaje, catering, personal de registro, señalización y las horas antes y después que hay que pagar aunque el evento dure dos.
To that you add the usual line items, which do not depend on the venue: setting up and taking down, catering, registration staff, signage, and the hours before and after that you pay for even if the event itself lasts two.
Estacionamiento, comida y energíaParking, food and power
Un evento no se juzga sólo por la sala. Se juzga por dónde dejó el carro la gente, qué comió y si se fue la luz a mitad de la presentación.
An event is not judged by the room alone. It is judged by where people parked, what they ate, and whether the power went out halfway through the presentation.
- Estacionamiento: 2.000 puestos techados dentro del complejo, con vigilancia 24 horas y control de acceso vehicular. Para un evento de 130 personas, eso deja de ser una preocupación.Parking: 2,000 covered spaces inside the complex, with 24-hour security and vehicle access control. For a 130-person event, that stops being a worry.
- Comida: alrededor de diez restaurantes dentro del mismo edificio, además de supermercado e hipermercado. Alquilar un salón para una reunión de ocho es pagar metros vacíos, y además se nota: ocho personas en una sala de cuarenta conversan peor que ocho en una sala de diez. Para ese tamaño lo que buscas es una sala de reunión por hora, no un salón de eventos, y conviene comprobar dos cosas que se dan por hechas y fallan: que la tarifa incluya el montaje y el servicio de café, y que el internet de la sala aguante una videollamada con la gente de fuera conectada.
Renting a hall for a meeting of eight is paying for empty space, and it shows: eight people in a room for forty have a worse conversation than eight in a room for ten. For that size what you want is a meeting room by the hour, not an event hall, and it is worth checking two things that are taken for granted and fail: that the rate includes setup and coffee service, and that the room's internet holds a video call with remote participants connected.
