The conversation repeats itself almost word for word: "for what coworking costs, I could lease a place". And the calculation behind it is putting the monthly rent of a unit next to the monthly fee of a shared space and keeping the smaller number.
The trouble is that they are not two numbers of the same kind. One is a line item; the other is everything. The rent on a unit does not include the chair, the internet, the person who opens the door, the coffee or the air-conditioning technician. The monthly fee of a shared space does. Comparing the two directly is like comparing the price of an engine with the price of a car.
None of this says an office of your own is a bad idea. It says the decision is made with the full list in hand, and that there are cases where your own premises clearly win. The last section is exactly that.
Lo que se paga antes de entrarWhat you pay before you move in
This is the outlay that throws people most, because it happens all at once and before the office produces anything:
Deposit and advance. Usually several months' rent locked up from day one. That money is not working in the business for as long as the lease lasts.
- Acondicionamiento. Fit-out. Paint, partitions, doors, power points, network cabling, lighting, air conditioning. In a shell unit it is the biggest item of all and the one that overruns the budget most.
- Mobiliario. Furniture. Desks, chairs, filing, a meeting table, a reception desk. And a warning that comes due the following year: a cheap chair is paid for in backs, not on the invoice.
Support equipment. A UPS or generator, router and access point, printer, fire extinguishers, a lock or access control, cameras. None of it is optional and none of it appears in the listing for the unit.
The time between signing and the first working day. Weeks of rent paid on premises where nobody is working yet. It is the item nobody writes down and it is always there.
Here is the bulk of what makes the initial comparison collapse. None of these items is large on its own; together they almost always exceed the rent:
Service charges and common costs for the building, where they apply.
Electricity, and the backup for when it fails. In Maturín this line is not theoretical: with no generator and no UPS, every outage is a lost working day and a dropped meeting.
Internet, and the second provider. A single link is not a connection, it is a bet. Anyone working with clients abroad usually ends up paying for two.
Water, and the alternative supply when the mains do not deliver.
- Vigilancia. Security. Building-provided or contracted, plus camera maintenance.
- Limpieza e insumos. Cleaning and supplies. The person who cleans, plus the paper, soap and bin bags nobody budgets for and somebody buys anyway.
Coffee, tea and water for the team and for visitors.
- Mantenimiento correctivo. Corrective maintenance. The air conditioning, the plumbing, the lock, the light bulb. It is irregular and so never budgeted, but the annual average is not zero.
Whoever opens the door and receives. The courier, the supplier, the client who arrived early, the post. With no reception desk, that job is absorbed by the team.
- Seguro del local y de los equipos.Insurance for the premises and the equipment.
This item appears on no invoice and is usually the most expensive of all, because it is paid by the people who should least be doing it.
Someone calls the air-conditioning technician and waits for him. Someone chases the internet provider when the link drops. Someone buys the paper, sorts out the cleaner, receives the courier and stays until the last person leaves. In a small company that "someone" is almost always the owner or the manager — which is to say, the most expensive hour on the payroll spent on what bills the least.
Put a number on those hours before you compare. Even at four a week, that is half a day of the most expensive person in the company, every month, for the whole term.
Los metros que pagas y no usasThe space you pay for and do not use
Rent is paid on the whole unit, used or not. And the unused part is larger than it looks:
The meeting room. It takes up a large share of the unit and is typically used a few hours a month. The rest of the time it is a closed room you pay for in full.
The desk of whoever is in the field. If half the team works outside, half the desks are empty on a normal day.
The box room. The space that ends up holding files, materials and whatever was left over from the move.
Circulation. Corridors, reception, bathroom, kitchen: space paid for at the same rate as the productive kind.
The logic of a shared space is exactly that: the meeting room is paid for by the hour when it is used, and the desk is paid for by whoever shows up. It is the same reason a company rents a truck on moving day instead of buying one.
One figure worth measuring before deciding anything: for two weeks, count how many desks are occupied at ten in the morning on an ordinary day. That number — not the payroll — is the one to use for sizing and for dividing. In operations with people in the field, the gap between the two is often half, and it is what decides whether your own premises turn out cheap or expensive.
Cómo hacer la comparación bienHow to do the comparison properly
It takes four steps and fits on one page:
Two columns, the same line items. Your own premises and shared space, row by row, with everything from the sections above. Whatever is included in one column is entered as zero rather than deleted: that way you can see what you are no longer paying.
Spread the upfront outlay across the term. Fit-out and furniture are not a one-month expense: they are the cost of entry divided by the term. If the term shortens, that number rises.
Divide by headcount. The useful comparable is all-in cost per person per month. It is the only number you can put next to a monthly fee and have it mean the same thing in both columns.
Add one more row: what happens if the team shrinks. Going from six people to three, in your own premises you pay the same until the lease ends. In a shared space you pay for three. That row is what decides it in a seasonal business.
With that sheet in front of you the conversation changes register: it is no longer about whether coworking is expensive, it is about what term and what size make sense. And that is the right question.
Cuándo sí conviene la oficina propiaWhen your own office is the right call
There are clear cases, and saying so is part of honest advice:
A large, stable team with years of term ahead. At a certain size, scale favours your own premises.
Specific facilities: a workshop, a warehouse, a laboratory, cold storage, a public counter with street traffic.
Noisy operations or odd hours that do not fit in a space shared with other companies.
Client requirements calling for exclusive facilities, a restricted area or certifications attached to the building.
Outside those cases, shared space usually wins for a reason that is not price: it turns a fixed cost into one that moves with the business. And while the size is still changing, that is worth more than any discount.
Whatever the conclusion in your case, do the exercise with the full list before signing anything. It is an afternoon's work, and it is the only thing that stops you discovering in month four a line item nobody had put on the sheet.
Preguntas frecuentesFrequently asked questions
Which costs are usually forgotten when budgeting an office?
The five that come up most are backup power, the second internet provider, corrective maintenance, cleaning and coffee supplies, and the hours somebody on the team spends running the place. None is large on its own, which is why none makes it onto the sheet; together they usually weigh more than the rent.
How do you work out the cost per person of an office?
You add up everything paid in a year — rent, utilities, cleaning, maintenance, supplies, insurance — and add the upfront outlay, fit-out and furniture included, spread across the months of the term. That total is divided by twelve and then by the number of people who actually use the office on a normal day, not by the full payroll.
When are your own premises better than shared space?
When the team is large and stable with years of term ahead, when the business needs specific facilities — a workshop, a warehouse, a laboratory, a public counter — when the operation is noisy or runs at hours that do not fit alongside other companies, or when the client requires exclusive facilities. Outside those cases, what usually decides it is not price but flexibility.
Does shared space work for a company that already has a permanent team?
Yes, and it is in fact the most common case: a furnished private office, closed and lockable, inside the shared space, with 24-hour access by card. The team has its own door, while the meeting room, reception, cleaning, power and internet come already solved. What is shared is the infrastructure, not the desk.
