Energía, agua e internet: cómo sostener una jornada de trabajo en MaturínPower, water and internet: how to keep a working day running in Maturín

A working day is not lost to the outage: it is lost to what the outage interrupts. Here is how to size the backup you actually need, why a single internet provider is not a connection, how much bandwidth your team really needs, and how to audit any office in three hours before signing.

When people work out what an outage costs them, they usually count the hours the team spent not working. That is the smallest item. Three others weigh more, and none of them shows up on a spreadsheet:

The meeting that drops halfway through. It does not cost forty minutes: it costs the other party's next available slot, which may be next week, and an impression that does not get corrected.
Unsaved work. Two hours of spreadsheet, a half-finished document, an upload that was at seventy per cent.
The cold restart. After an outage, people take time to get back to where they were. A long half hour each, and it does not come back.

This matters a great deal for sizing: most of that damage happens in the first five minutes of the outage, not in the four hours that follow. It is why a small, well-placed backup is worth more than a large, badly placed one.

Tres cortes distintos, tres respuestas distintasThree different outages, three different answers

Lumping all three together is the mistake that makes people over- or under-buy. They are not the same problem:

TipoType Qué rompeWhat it breaks Qué lo resuelveWhat solves it

The right buying order, if it has to be staged, is UPS first, always. It is the cheapest, it handles the most frequent kind of outage and it is the only thing that protects unsaved work. A generator with no UPS still leaves a ten to thirty second gap while it starts, and the video call drops in that gap.

La UPS: para qué sirve y cómo se dimensionaThe UPS: what it is for and how to size it

First, understand what you are buying. A UPS is not there so you can keep working: it is there so you lose nothing and can shut down properly. If you choose one expecting to work four hours off it, you will buy an expensive unit that still falls short.

How to size it, in four steps and with no strange formulas:

Add up the real watts of what you are going to plug in. They are on each device's label. A laptop is around 60, a monitor 30, a router and access point 20 between them, a desktop rather more.
Watch VA versus watts. UPS units are sold in VA and equipment consumes watts. They are not the same: the ratio depends on the unit's power factor, usually between 0.6 and 0.9. A 1,000 VA UPS may deliver considerably less than 1,000 W, and that is the number that counts.
Runtime is not linear. Loading a UPS to fifty per cent does not give twice the minutes of loading it fully: it gives considerably more than twice. Oversizing by one step is the cheap way to multiply autonomy.
Decide what does NOT go on it. Air conditioning, fridge, coffee machine, laser printer and anything with a heating element or a compressor. A laser printer alone can trip an office UPS on its first page.

And three details that decide whether it still works a year from now:

The router and access point go on the UPS. This is the commonest oversight: the computer survives the sag and is left with no network, which amounts to the same as switching off.
Batteries wear out. Three or four years in a warm climate, with little warning. A UPS with a dead battery protects nothing and does not say so: it has to be tested.
Test it deliberately, once a quarter. Pull the plug with the office working and watch what dies and how many minutes it holds. It is the only test that counts.

La planta: cuándo tiene sentido y qué trae detrásThe generator: when it makes sense and what comes with it

A generator solves the multi-hour outage, the one that takes your working day. But it is not a device you buy: it is an installation you maintain. What sits behind the equipment price:

The transfer switch. Manual or automatic. Automatic costs more and is the difference between coming back in twenty seconds or whenever somebody arrives with the key to the plant room.
Fuel. Autonomy in hours at real load, who refills it, where it is stored and what happens on a Sunday. Most generators that fail do not fail: they run out of fuel.
Maintenance. Periodic no-load runs, oil, filters, starter battery. A generator that is never started is a generator that will not start on the day it is needed.
  • Ruido, humo y vecinos. Noise, fumes and neighbours. Decide where it goes before buying it. In a small ground-floor unit, this alone rules some options out.
The air conditioning. By far the largest load in an office. A generator sized only for computers and lighting leaves the office powered and at thirty-three degrees, and two hours later nobody is working.

That last point breaks the most budgets. If you are going to size a generator, decide first — and in writing — whether the air conditioning is in or out. Both answers are legitimate; the one that is not is never having made the call.

A single link is not a connection: it is a bet on a good run. And contracting two providers guarantees nothing either, because redundancy is measured by what they do not share. The four questions that separate real redundancy from the brochure kind:

Do they come in through the same place? If both cables arrive through the same entry or the same pole, one backhoe takes out both.
Una fibra y un enlace inalámbrico o móvil, no.Are they the same technology? Two fibres fail for the same reason. A fibre and a wireless or mobile link do not.
Who is each one's upstream wholesaler? Two different providers buying transit from the same wholesaler are, upstream, one provider.
Is failover automatic? If somebody has to be called to switch links, the meeting has already dropped. A dual-WAN router with automatic failover costs little and is half the value of having two links.

Mobile backup deserves its own note: it works, and works well, to hold a call and email while the main link returns. It does not work as the primary link for an office with several people, and that is better known beforehand than during.

Cuántos megas necesitas de verdadHow much bandwidth you actually need

Here there are public, verifiable numbers. Microsoft publishes Teams' bandwidth requirements, and they serve as a reference for any video-calling platform:

UsoUse Mínimo (subida/bajada)Minimum (up/down) RecomendadoRecommended Mejor rendimientoBest performance
Audio (uno a uno y reuniones)Audio (one-to-one and meetings) 10 / 10 kbit/s 58 / 58 kbit/s 76 / 76 kbit/s
Video, uno a unoVideo, one-to-one 150 / 150 kbit/s 1.500 / 1.500 kbit/s 4.000 / 4.000 kbit/s
Video, reunionesVideo, meetings 150 / 200 kbit/s 2.500 / 4.000 kbit/s 4.000 / 4.000 kbit/s
Compartir pantalla, reunionesScreen sharing, meetings 250 / 250 kbit/s 2.500 / 2.500 kbit/s 4.000 / 4.000 kbit/s

From there comes the calculation almost nobody does. A video meeting at recommended quality asks for 2.5 Mbit/s of upload per participant. Five people in the same office in different meetings at once is 12.5 Mbit/s of upload, before email, cloud sync or updates.

The number to look at is upload. Plans are advertised by download, which is the friendly half, and video calls drop because of the other one. When you ask for an office internet quote, ask for the upload figure and ask whether it is symmetrical: it is the one question that changes the real experience.

One last technical nuance that explains a lot of frustration: speed is not the only thing. A 50 Mbit/s connection with packet loss sounds worse on a call than a clean 10. If voices cut out or sound robotic while the speed test says everything is fine, the problem is not speed.

This is the line item that appears in no office budget and the one that sends people home faster than a power cut. No water means no toilets, and no toilets means no working day. Three questions and one calculation:

Is there a tank, and of how many litres? If the answer is "there's a tank" with no number, there is no answer.
Is the pump electric? Almost always yes. Then water depends on the generator, and you must check the pump is on the backed-up circuit. A classic oversight.
How many days of autonomy does that give? A reasonable office estimate is 20 to 40 litres per person per day counting toilets and cleaning. Divide the tank's litres by that and you have the days. If the number is under two, the tank is decorative.

And the follow-up question, which is the one that really matters: who refills it, how often and how long does it take? A large tank with uncertain resupply performs worse than a medium one with a contracted water truck.

This works to audit any office, unit or shared space in the city before signing. It takes one visit and requires no technical background. Six things, and you ask for all of them:

Ask to see the switchboard and the generator room. You do not need to understand what you see: you need to see whether it exists, whether it is clean and whether anyone knows how to open it. A tidy plant room says more than a brochure.
Ask how many seconds the transfer takes and whether it is automatic. If nobody on site knows, you already know something.
Ask whether the air conditioning is on the backup. It is the most awkward question and the one that most changes your working day.
Ask for the names of the internet providers — plural — and where each one comes in. If there is only one, ask what happened the last time it went down and how long it took to come back.
Run a speed test yourself, from the desk you would actually work at, and look at the upload. Mid-morning, not at seven.
Ask the tank's litres and who refills it. And go into the bathroom. It is the fastest audit there is.

A note on reading the answers: what you are looking for is not perfect numbers, it is that somebody has the numbers. A place that answers "transfer takes about twenty seconds and the air conditioning is not on it" is infinitely more reliable than one that answers "the power never goes out here".

Si ya estás en un local y no puedes mudarteIf you are already in a place and cannot move

Most people reading this have already signed something. Four measures you can take this week, ordered by what they give back against what they cost:

Put the router and access point on a small UPS. The cheapest item on this list and the one that saves the most meetings.
Add mobile backup with automatic failover. It is not a true second connection, but it turns an outage into a nuisance.
Move the important meetings to somewhere with proven backup. Renting a room for two hours on the day you present to head office costs less than a generator and removes ninety per cent of that day's risk.
Write the protocol on half a page and pin it up: what gets saved before a meeting, who checks the fuel, who gets called, and what happens if there is no power at eleven. It is free and it is what brings the most order.

None of the four requires moving or renegotiating anything. And if the day comes to compare where to set up, you now have the six visit questions, which work for any option in the city, this one included.

Preguntas frecuentesFrequently asked questions

For a small office, is a UPS or a generator better?

They solve different things, and if you must start with one, start with the UPS. It covers blinks and sags, which are the most frequent, protects unsaved work and keeps the router alive. The generator covers the multi-hour outage that takes your working day, but it needs ten to thirty seconds to start: with no UPS, the video call drops in that gap anyway. Most people end up with both and start with the first.

How do I know what size UPS I need?

Add up the label watts of everything you will plug in, and remember UPS units are sold in VA, which are not watts: the ratio depends on power factor, usually between 0.6 and 0.9. Leave out the air conditioning, the fridge and the laser printer. And remember runtime is not linear: a UPS at half load gives considerably more than twice the minutes, so stepping up one size is the cheap way to buy autonomy.

Does having two internet providers guarantee it will not go down?

Solo si no comparten nada.

Only if they share nothing. Four things to check: that they do not come in through the same entry, that they are not the same technology, that they do not buy transit from the same wholesaler, and that failover between them is automatic. Two fibres on the same pole with the same upstream are, in practice, one link with two invoices.

How much bandwidth does a five-person office need?

Do the sum on upload, not download. Microsoft states 2,500 kbit/s of upload per participant for a recommended-quality video meeting; five people in different meetings at once is about 12.5 Mbit/s of upload, before email, cloud sync and updates. That is why the question to ask any provider is how much upload they give and whether it is symmetrical.

Why does audio cut out when the speed test says everything is fine?

Because speed is not the only thing that matters. Choppy or robotic audio usually comes from packet loss or delay variation, and a speed test does not show either. A clean 10 Mbit/s connection sounds better on a call than a 50 with loss. If the symptom repeats, the path is measuring stability, not buying more megabits.

¿Cuánta agua almacenada necesita una oficina? How much stored water does an office need?

Estimate 20 to 40 litres per person per day counting toilets and cleaning, divide the tank's litres by that and you have the days of autonomy. Under two days is a decorative tank. And check two things that are always forgotten: that the pump is on the generator-backed circuit, because it is almost always electric, and who refills the tank, how often and how quickly.
